Letters of Support
Council may provide Letters of Support to help community organisations, groups and businesses strengthen applications for external grant funding.
A Letter of Support confirms that Council is aware of your project and supports it in principle, where it aligns with Council priorities and delivers a benefit to the Hinchinbrook community.
What is a Letter of Support?
A Letter of Support can help demonstrate to funding bodies that you have engaged with key stakeholders and that your project has local backing.
If your project involves cultural or religious communities, you may also need to show that you have the support of appropriate elders or community leaders.
While a Letter of Support can assist your application, it is important to note that:
- It does not guarantee funding, and
- It does not automatically approve the project or commit Council to involvement.
In Principle Support
When Council provides a Letter of Support, it is offering in‑principle support.
This means Council supports the intent of the project based on the information provided and agrees that the proposed outcomes deliver community benefit.
The Mayor is authorised to provide Letters of Support on behalf of Council in the role of Council’s official spokesperson.
Other types of support
If you are seeking in‑kind support or a formal partnership with Council, a different process may apply.
These requests usually require:
- Additional discussion through a Councillor Connect Session, and
- Consideration and approval by the full Council.

How to request a letter of support
You can request a Letter of Support by:
Providing information early allows time for assessment, research and preparation.
Information we need
To assess your request, please include:
- Organisation or group name
- Contact person and contact details
- Project name
- Name of the grant or funding program
- Funding organisation
- Amount of funding requested
- Grant closing date
- Brief project description and community benefit
You may also submit a template letter with this information for Council’s consideration.
When a Letter of Support may not be provided
Council may not provide a Letter of Support where:
- Council is applying for funding from the same program and would be in direct competition
- Council already delivers a similar program or service
- The project does not align with Council priorities or strategic objectives
- There is an expectation for ongoing support beyond reasonable timeframes
